We are seeking a highly organized, detail-oriented Administrative Assistant to support daily office operations and provide administrative assistance across departments. This role is essential to keeping our teams organized, informed, and operating efficiently.
This position reports to the Office Manager and is well-suited for someone who thrives in a fast-paced environment, enjoys variety in their work, and takes pride in being a reliable support to others.

Compensation
- $20 to $25 per hour, depending on experience and qualifications.
What You’ll Do
- Provide administrative support to all departments, ensuring efficient day-to-day office operations.
- Assist with Accounts Payable and support basic accounting-related administrative tasks. Support the Office Manager with HR administrative functions, including onboarding, offboarding, apprenticeship coordination, and training tracking.
- Draft, review, format, and manage correspondence, reports, and documentation for the management team.
- Coordinate project documentation, prepare final client packages, and manage courier services.
- Manage front-desk responsibilities, including incoming calls, emails, mail, and visitors.
- Maintain internal databases, vendor records, phonebooks, and filing systems.
- Coordinate meetings, calendars, travel arrangements, and office activities.
- Assist with proposals, tenders, and monitoring public tender platforms.
- Maintain office organization, supplies, keys, and confidential records with professionalism and discretion.
What You Bring
- Secondary School Diploma required; Business Administration certificate or equivalent education required.
- 2–4 years’ experience as an Administrative Assistant or in a similar role.
- Strong written communication skills, with the ability to draft and format moderately complex correspondence.
- Excellent organizational, time management, and multitasking abilities.
- High level of attention to detail and accuracy.
- Ability to exercise sound judgment, discretion, and confidentiality.
- Typing speed of 65+ words per minute.
- Proficiency with Microsoft Office; familiarity with Adobe Creative Cloud is an asset.
- Experience assisting with Accounts Payable, HR administrative tasks, or proposal coordination is considered an asset.
